Finance Associate II

- $25.50 – $31.07 hourly (commensurate with experience)

Under direct supervision of the Accounting Manager, this position performs a variety of clerical and administrative tasks related to financial services for the TSRA membership, TSRWC customers, and all staff.
Representative Duties
Provides financial, clerical and administrative support services to the Accounting Manager The Sea Ranch Association and The Sea Ranch Water Company. Performs assigned tasks relating to Accounts Receivable & Accounts Payable including processing of charges and recording payments, resolving customer issues, coding, and filing of invoices. Responds to inquiries from outside agencies about account status and prepares a variety of records and reports for ownership and address changes; administers record retention and archiving activities for the department. Trains in all duties of the Finance Associate II of TSRA and TSRWC. Attains competency in systems such as Sage Intacct, Bill.com & Salesforce. Other duties as assigned.
Organizational Relationships:
The Finance Associate II is a non-exempt, full-time hourly position reporting directly to the Senior Director of Finance and Human Resources, who conducts annual performance evaluations and coordinates work assignments. The Finance Associate II works closely with other members of the Finance team and has regular contact with the members, Community Manager, Board of Directors, Association vendors, and members of other Association Departments.
Education and Experience:
High school diploma or equivalent; additional coursework in accounting or bookkeeping; experience involving computer database, word processing and spreadsheet software; minimum two years’ experience in an office environment.
Knowledge and Abilities:
Knowledge of basic office procedures and operation of office machines; ability to operate computer (PC), word processing and spreadsheet software (MS Word and MS Excel); ability to learn, understand and apply TSRA office procedures and policies; ability to organize & complete work within assigned time frames; ability to multi-task and courteously handle unexpected interruptions; ability to share office space with co-workers; ability to communicate clearly and politely with Association members, vendors and all other visitors and to establish and maintain effective working relationships with Association staff at all levels of the organization; ability to maintain strict confidentiality regarding personnel and member privacy.
Major Job Functions or Tasks to be Completed:
All of the below specific job functions are essential to the successful completion of the job.
- Accounts payable filing (Bill.com)
Statement and other member communication mailings - Preparing Common Interest Development informational packets at start of escrow
- Vault clean-up and organization – ongoing vault contents maintenance within policy
- Document archiving and retention.
- Member Billing.
- Cash receipts handling for daily deposits when necessary.
- Posting accounts receivable payments for the Association and the Water Company in absence of either Specialist.
- Coding, posting accounts payable invoices.
- Purchasing office supplies for departmental needs within established procedures.
- Reconciling member accounts.
- Implementing owner changes.
- Emergency backup for front desk reception area at Association or Water Company.
Work History/Skills:
- Minimum two years’ experience in an office setting performing a variety of clerical duties.
- Experience with computer databases, spreadsheet, word processing software, and email software.
- Work history involving public contact in a public or quasi-public environment.
- Knowledge of modern office procedures and equipment, including 10-key.
- Knowledge of basic English grammar, spelling and punctuation in business usage, ability to perform basic mathematical calculations.
- Cash handling and basic accounting and data entry functions.
- Experience in providing high quality customer service.
Education/Training:
- High school diploma or equivalent require; minimum two years’ experience in an office environment.
- Applied post-secondary coursework in bookkeeping, Human Resources, or Accounting.
- Demonstrated knowledge of personal computers and modern office equipment.
Personal Characteristics:
- Ability to work well under pressure, handle unexpected interruptions and promote a ‘can-do’ customer service attitude.
- Ability to explain Association benefits packages and financial policies to employees, members, and their representatives.
- Ability to work independently and as a team member interchangeably.
- Ability to relate well to staff at all organizational levels.
- Ability to acquire proficiency over time in a wide range of accounting and personnel functions.
- Ability to maintain strict confidentiality regarding personnel issues, members’ private information, and all other Association matters.
